Mining and Metals:
Increasing production of critical minerals provides key components of clean energy technologies, from wind turbines to batteries. Job Summary:
In this role, you will be responsible for working independently to provide administrative and secretarial support of a responsible and confidential nature to help ensure the smooth functioning of the high level Management of the GBU. Duties require accuracy, judgment, a high degree of initiative, discretion, diplomacy, and knowledge of protocol. Travel and expenses management is a core activity. Anticipates changing priorities and problems.
Major Responsibilities:
- Managing travel and expenses as core activities, calendar management and monitoring all follow-up actions required by supervisor/manager, working with customers and stakeholders to schedule meetings. May implement records management program
- Reviewing incoming communications, work orders, and service requests for subject matter content and routes them to appropriate supervisor’s attention.
- Composing routine correspondence in response to requests for department services, answering enquiries from other departments, area offices, or outside entities.
- Compiling, analyzing, and preparing or helping prepare information for studies or reports, such as organization planning, charts, graphs, and workload forecasts.
- Helping develop and monitor budget or financial information, such as comparing past costs with future costs, auditing invoices, and verifying labor reports.
- Reviewing deliverables of assigned staff and monitors quality to ensure that all documents conform to established standards and procedures.
- Maintaining files of various historical data.
- Reviewing incoming communications, work orders, and service requests for subject matter content and routes them to appropriate supervisor’s attention.
- Organizing material for meetings, presentations, and training sessions. May operate a variety of audiovisual equipment in the presentation of programs, orientation, and conferences.
- Performing other ad hoc duties as required.
Education and Experience Requirements:
- Requires +10 years of related experience and an associate degree or related technical training preferred.
Required Knowledge and Skills:
- Excellent written and oral communication skills.
- Knowledge of technical vocabularies and terminology common to the assignment.
- Demonstrated knowledge of administrative functions, including budget and financial functions.
- Basic skills in training and supervision of personnel.
- Ability to develop and analyze information for studies and reports.
- Knowledge of Bechtel’s organizational structure, functions and procedures.
- Advanced knowledge of software applications, creating spreadsheets with mathematical functions, and enhancing presentation reports.
- Bilingual (Spanish and English advanced level).
- Excellent interpersonal and communication skills, with the ability to build relationships.
- Proactive and takes responsibility for work.
- Creative and analytical skills would be highly valued to support PowerPoint presentation development and collation of market information.
- A flexible team player who enthusiastically collaborates across our teams.
- Ability to multitask, while being highly organized and juggling multiple work streams.
