Project Overview:
Job Summary:
Stakeholder Coordinator's position will be responsible for coordinating stakeholder activities for Riyadh Expo project. The Stakeholder Coordinator will be responsible for updating and maintaining the stakeholder register, engagement log, and action tracking, including MOMs, NDAs, MOUs, and official letters. The stakeholders (internal and external entities) include (but are not limited to) internal workstreams, authorities, commissions, consultants and contractors. The primary responsibility will be to nurture and sustain relationships with these stakeholders throughout the project's duration, ensuring smooth approvals and effective coordination of flow of technical information between all parties.
Major Responsibilities:
- Maintain and update the Stakeholder Tracker with engagement records, action items, and status across internal and external stakeholders.
- Prepare and manage documents, drafts and logs formal stakeholder documents, including letters, NDAs, MoUs, and coordination records in line with ERC protocols.
- Prepare meeting agendas and record/follow up on minutes of meeting (MoMs) with clear actions, deadlines, and owners
- Support Reporting and provide data inputs and summaries for weekly reports, monthly updates, and stakeholder dashboards.
- Coordinate Across Functions: Liaises with interface, permitting, design, and construction teams to align stakeholder requirements and ensure continuity.
- Ensure the latest stakeholder information, templates, and reference documents are maintained and shared with the team
- Manage permitting requirements and track scope related permits, approvals, and clearances as required across design and construction activities.
- Oversee the preparation, consolidation, and timely submission of permit packages, ensuring compliance with entity-specific requirements.
- Maintain and updates and manages the live tracker linked to the stakeholder tracker, including deadlines, statuses, and authority contacts.
- Support Delivery and Design to ensure permitting inputs are synchronized with project activities and timeline.
- Document recording and status tracking in coordination with internal technical teams.
- Supporting resolution of regulatory issues by ensuring relevant internal parties are informed and aligned.
Education and Experience Requirements:
- Preferred: Bachelor’s degree in engineering (or international equivalent) and 3 to 5 years of relevant experience or 8 to 10 years of relevant work experience
- Stakeholder Engagement: Prior stakeholder engagement on large-scale programs with multiple internal and external stakeholders is preferred.
