Project Overview:
Expo 2030 Riyadh is a global platform where countries, organizations, and individuals will come together to collaborate. Under the theme “Foresight for Tomorrow,” the Expo promotes sustainable development, innovation, and transformative thinking. The event will be held from October 2030 to March 2031 and is expected to welcome over 40 million visits.
The 6 km² Masterplan outlines a comprehensive framework for participation and infrastructure at the Expo. The exhibition space, totaling 491,100 m² GFA, can accommodate up to 197 participating countries and 29 international organizations.
Working collaboratively with our customer, Expo 2030 Riyadh Company (ERC), Bechtel will manage the infrastructure program which comprises early works, utilities, and publicly accessible spaces like streets and parks. Our scope on the six-square-kilometer site will transition into a mixed-use legacy development to serve the community after the six-month event is over. The project’s master plan leverages international sustainability standards for urban afforestation, treated water, and energy sources
Job Summary:
The HSE Administrator provides comprehensive administrative and clerical support to ensure smooth operations within the Health, Safety, and Environment (HSE) function. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities while supporting project goals and compliance requirements.
Major Responsibilities:
Administrative & Clerical Support
- Perform a wide range of secretarial, administrative, and clerical duties of both general and specialized nature, including research, analysis, and coordination with other departments.
- Prepare, proofread, and distribute standard forms, correspondence, reports, and documentation packages.
- Maintain accurate electronic and hard copy filing systems for HSE records and documentation.
Communication & Coordination
- Compose and distribute complex correspondence using word processing and other software applications, ensuring alignment with project goals and priorities.
- Respond to inquiries from internal departments, area offices, and external stakeholders in a professional and timely manner.
- coordinate coverage during absences and manage emergent matters by determining appropriate actions or escalating to relevant contacts.
Document & Data Management
- Process incoming and outgoing transmittals and correspondence.
- Perform data entry to maintain logs and track documentation for compliance and reporting purposes.
- Manage the client cloud system data entry and communicate / train with contractors.
Major Responsibilities:
Meeting & Event Support
- Prepare itineraries, expense reports, and arrange meetings, including facilities, equipment, and refreshments.
- Organize materials for meetings, presentations, and training sessions.
- Prepare, collect, and distribute meeting agendas, information packets, and minutes.
- Maintain and update calendars for responsible managers.
HSE-Specific Responsibilities
- Manage inventory of HSE consumables and issue personal protective equipment (PPE), ensuring accurate record-keeping.
- Maintain records of project HSE inductions and ensure timely updates.
- Support compliance with HSE standards by assisting in audits, inspections, and reporting as required.
General Office Management
- Maintain standard office supplies and forms.
- Independently anticipate problems or changing priorities and alert managers as appropriate.
- Work overtime as requested and perform other duties as assigned by management.
Education and Experience Requirements:
- Requires a bachelor’s degree in health and Safety and 5-10 years of relevant experience.
