Project Overview:
Job Summary:
In this role, you will provide document and records management support and assist with establishing work processes. You will assist with the ECMS (Enterprise Content Management Systems), integrations, reports and Power BI dashboards. You will support your team with quality checks, resolving issues, providing software training, metrics, and planning. Your work will help ensure efficient and accurate management of documents and records.
Major Responsibilities:
- Serves as a member of the document management team to support Enterprise Content Management Systems (ECMS) such as Aconex and Unifier, and other associated tools.
- Assists in determining requirements/expectations for integration, and with preparing a plan to provide ongoing support.
- Utilizes standard Enterprise Content Management System (ECMS), archival/retention management systems, and/or SaaS applications to register, control, distribute, transmit and archive project records.
- Design, implement, and refine document control processes and workflows across project.
- Conduct internal audits to ensure compliance with company policies, project requirements, and ISO standards (e.g., ISO 9001, ISO 19650).
- Monitors and reviews data entry accuracy for self and support staff.
- Demonstrates knowledge of various types of project deliverables issued in infrastructure projects and the document lifecycles associated with them.
- Creates/updates desktop work instructions, plans and procedures.
- Provides training on work processes and tools.
- Interacts with end users to support, troubleshoot, and resolve issues and provide technical support for system-related issues.
- Knowledge of job role-based distribution/ communication matrix.
- Experience with record retention and project closeout activities.
- May develop and lead implementing records retention and turnover plans.
- Interacts and trouble-shoot document control and system issues with contractors and suppliers.
- Assists with access issues due to SSO or other authentication tools/processes.
- Understands the functionality of two-step verification (2SV) authentication processes.
- Assists in modifying and updating Power BI dashboards based on project requirements.
Education and Experience Requirements:
- Requires a bachelor’s degree (or international equivalent) and 5-8 years of relevant experience or 9-12 years of relevant work experience.
Preferred Experience:
- Intermediate experience of SQL Server.
- Intermediate experience in using Power BI dashboards and publishing them through the Power BI App.
Required Knowledge and Skills:
- Advance proficiency in ECMS (e.g., Aconex, Unifier).
- Deep knowledge of document lifecycles in large-scale infrastructure or EPC projects. (design through commissioning).
- Designs, implements, and improves document control processes and workflows.
- Performs detailed QA/QC of project documents; may lead audits and compliance reviews.
- Proficient in Microsoft Office, particularly Excel; experience in creating and publishing high-level reporting, dashboards using Power BI.
- Strong understanding of industry standards (e.g., ISO 9001, ISO 19650).
- Experience Training and supporting junior team members.
- Detail-oriented with the ability to meet deadlines under pressure.

- Strong team player with a focus on excellence and agility in dynamic environments.
- Analytical mindset, able to identify process gaps and drive improvements.
