Project Overview:

Bechtel and Westinghouse Electric Company have partnered to deliver the first AP1000 nuclear power reactors in Poland for our customer, the Polish Entity Polskie Elektrownie Jadrowe (PEJ). Bechtel will be the Engineering, Procurement, and Construction (EPC) contractor for the project. As the EPC, our responsibilities will include providing the design for the Turbine Island and Balance of Plant as well as the construction of the entire facility.  This is a one-of-a-kind opportunity, and we are looking for the talent that will help expand Poland’s nuclear base and build a strong and long-lasting energy future for generations to come. This position is subject to U.S. Department of Energy (DOE) regulations at 10 CFR Part 810 (Part 810), which govern the transfer of hardware, materials, and technology to support the construction and operation of commercial nuclear power plants overseas.

Job Summary:

In this role, the Warsaw Project Administrator will provide a full range of supervision and training to the Records Management, Administrative and Facilities to support the efficient and smooth operation of the Warsaw office and various Poland offices and jobsite. This position requires business travel within Poland to our various locations to support the build.  Currently, this position starts in the Reston Office as a local hire then transition late summer/early fall to Warsaw office as an expat.  Duties require a high degree of confidentiality, accuracy, accountability, initiative, judgment, exceptional organizational skills, discretion, and knowledge of Bechtel's standard computerized systems. Proactively identifies issues, adapts to shifting priorities, and uses sound judgment to resolve them.

Work Schedule: Schedule E (5/8 Monday – Friday, 8:30 AM to 4:30 PM Work location:  Warsaw Office)  #LI-SNH 

Major Responsibilities:

  • Manage the Office and Administrative Services (O&AS) department for the Warsaw office and project site locations in Poland.
  • Responsible for providing training to the administrative and office services personnel to support the project in the areas of facilities management, office services, records management, document control, and administrative support.
  • Requires clear and effective communication with senior management, clients, consortium and guests.
  • Interfaces directly with Customer and Consortium partner on O&AS work processes and procedures.
  • Coordinate with various departments to ensure their requirements for personnel seating assignments and office equipment are met.
  • Provide recommendations to management related to administrative and office services functions.
  • Coordinate with various departments to manage the records turnover to the client.
  • Provide departmental and operational supervision for O&AS staff.
  • Responsible for performance monitoring, performance reviews, salary planning and career counseling for employees within the O&AS organization.
  • Provides input to ranking and salary planning.
  • Coordinate with Reston Project Administrator, Human Resources for recruitment and staffing activities. Prepare position requisitions, conduct interviews, and make recommendations on desired candidates.

Education and Experience Requirements:

  • Requires bachelor’s degree (or international equivalent) and 10+ years of relevant experience or 14+ years of relevant work experience.
  • Must be able to complete and pass a pre-employment drug screen and background check which includes verification of employment and education.
  • Must be able to obtain and maintain site badge for access. 

Required Knowledge and Skills:

Basic Qualifications:

  • Requires bachelor’s degree (or international equivalent) and 10+ years of relevant experience or 14+ years of relevant work experience.
  • Must be able to complete and pass a pre-employment drug screen and background check which includes verification of employment and education.
  • Must be able to obtain and maintain site badge for access. 

Minimum Qualifications:

  • Excellent written and oral communication skills.
  • Demonstrated knowledge of planning for and implementation of automated applications related to document control, office services, scheduling and collaboration. 
  • Working knowledge of computer programs for records tracking, archival, retention, and storage.
  • Proficiency and experience in project administration, including procedural work, customer interface, document control and records management, and project close-out activities.
  • Knowledge of  Records Management processes and procedures related to O&AS functions.
  • Excellent organization/time management, problem solving, leadership and interpersonal skills. 
  • Experience in instruction, supervision, and management of personnel.
  • Knowledge of engineering, procurement, construction, safety, and project management functions, including their procedures, records, and automation systems used in support of projects and functions.

Preferred Qualifications:

  • Prior experience managing office space and office services activities. 
  • Knowledge of government contractual requirements. 
  • Prior experience working in an engineering, procurement, and construction environment. 
  • Prior experience working in a government contracts environment. 
  • Prior experience with Bechtel’s Aconex software, Documentum a plus.
  • Knowledge of NS&E organization structure, functions, policies and procedures, industry, and regulatory standards.
