Job Summary:

Bechtel is seeking an Office Services Assistant/Receptionist to support the front desk operations at our Reston, Virginia headquarters. This individual will serve as the first point of contact for visitors and callers and play a key role in supporting office and security-related functions. The ideal candidate will be professional, organized, and capable of managing a variety of administrative and security responsibilities in a fast-paced environment. #LI-KL1

Major Responsibilities:

  • Serve as the primary receptionist, greeting visitors, clients, and contractors and managing the check-in/out process.
  • Answer and route incoming telephone calls using professional communication practices and a thorough understanding of Bechtel’s organizational structure.
  • Monitor and respond to alarms and emergency situations; execute routine and emergency notifications and prepare corresponding reports and logs.
  • Enforce established access control procedures and monitor the building’s cardkey/door access systems.
  • Coordinate with internal departments and external partners to ensure effective facility security support.
  • Assist in the development and implementation of post orders, procedures, and emergency protocols for facility security operations.
  • Notify appropriate personnel of incidents and ensure timely and accurate reporting.
  • Use company systems to enter, retrieve, and manage data.
  • Prepare, proofread, and distribute routine reports, correspondence, and forms using Microsoft Office applications.
  • Maintain physical and electronic filing systems in accordance with company standards.
  • Coordinate schedules and work activities, maintaining accurate logs and documentation.
  • Perform additional receptionist and office services duties as assigned.
 

Education and Experience Requirements:

  • Requires 2-4 years of related experience.
  • High school diploma or equivalent is required; associate degree or higher preferred.
  • Minimum of 2 years of experience in a receptionist, administrative support, or office services role, preferably in a corporate or professional services environment.

Required Knowledge and Skills:

  • Experience in a security-support function or with access control systems is a plus.
  • Familiarity with handling confidential information and maintaining a professional demeanor in high-visibility settings.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong communication skills, both written and verbal.
  • Excellent organizational and time management abilities.
  • Professional demeanor and customer service orientation.
  • Ability to handle multiple tasks and prioritize effectively.
  • Familiarity with office equipment and standard administrative procedures.
  • Basic understanding of access control and visitor management systems.
