This position is for an Administrative Assistant to support the Corporate Legal/CSO/Subsidiary Governance team, while demonstrating a high degree of initiative, discretion, confidentiality, diplomacy, professionalism, flexibility, accuracy and knowledge of protocol.  The work location for this assignment in Reston VA.  Relocation assistance is not authorized for this position.

 

 Job Responsibilities:

  • Has advanced writing and grammatical skills to author correspondence requiring management signatures.  Skills assessments may be administrated to test proficiency level.
  • Screens all visitors and phone calls when attorneys are not at their desks.  
  • Acts as a liaison between attorneys and management and staff in coordinating internal company business affairs.
  • Composes and distributes complex correspondence using Bechtel standard word processing systems or other software applications.  Reviews accuracy and format of outgoing documents which require the attorneys’ signatures.
  • Maintains digital files of correspondence and other documents retained for business purposes. Develops and supervises the implementation of office procedures and of filing and record-keeping systems.
  • May administrate highly sensitive and confidential shareholder/partner financial matters.
  • Schedules meetings, coordinates video conferencing needs, reserves rooms, arranges catering and distributes materials for meetings.  Independently schedules and reschedules appointments on the basis of the attorney's commitments and priorities. 
  • Coordinates complex travel plans for attorneys.  Prepares detailed itineraries, completes expense reports for travel, and reconciles expenses against monthly corporate credit card statement.
  • Determines action on important or emergency matters or knows the person to contact in the attorney's absence. 

 

 Job Qualifications:

  • Must have the right to work and remain in the United States without visa sponsorship.
  • Must have a minimum of 5 years office administrative/secretarial experience.  Experience must have been obtained within the past 7 years.
  • Must be able to demonstrate intermediate proficiency using Microsoft Excel, Outlook, PowerPoint, and Word.  Skills assessments may be administered to evaluate proficiency.
  • Must have experience arranging domestic and international travel, including coordination of visas and passports.  Experience must have been obtained within the past 3 years.

 

Preferred Qualifications

  • 3+ years of word processing/legal secretarial at a law firm.
  • Previous Bechtel experience working as an administrative assistant/secretary.
  • Holds a current Certified Administrative Professional (CAP) or Certified Administrative Professional with Organizational Management (CAP-OM) credential.
  • Familiarity with legal aspects of information management/records management.
