Job Summary:

The Office Services Lead supervises a variety of office services functions, such as office moves, leasehold improvements, renovation activities, food service management, reception, reproduction, communications, mail, space allocation, office supplies, furniture and equipment and miscellaneous services. Develops and recommends new and/or improved systems and procedures where necessary. Oversight, management and compliance with the ES&H Core Process for Office Facilities. Develops standards, forecasts and budgets for these services. Investigates, analyses and recommends new technologies and systems to improve work processes while staying in compliance with Bechtel and regulatory requirements.

Major Responsibilities:

 

  • Responsible for the provision of any or all of the services mentioned above. Schedules work activities, monitors schedules and measures work progress.
  • Develops and implements processes and procedures to improve or maintain the quality of these services.
  • Keeps current regarding developments in technology, equipment, software applications, programs, and processes in applicable service areas.
  • Responsible for budgeting and control of overhead costs, capital expenditures, and operating centers.
  • Sets goals, develops work plans, strategies and budgets, determines staff and resource requirements, and schedules work assignments.
  • Formulates, recommends and implements objectives, policies, plans, systems and procedures to reduce costs and improve efficiency.
  • Develops management reports such as status of the group’s activities and progress, cost analyses and estimates, staffing, technical services and equipment, work measurements, and materials and supplies.
  • Performs personnel administration activities including salary planning and administration, replacement planning, career counseling and performance evaluation.
  • Maintains compliance with the ES&H Core Process 231 Office Facilities and local legislation
  • May participate in special assignments such as business development or special task forces.
  • Space planning, leasing, leasehold improvements, management approval letters, capital expenditure approvals to meet the business requirements.

Education and Experience Requirements:

  • Requires a minimum of 4-6 years of related experience​
  • Associate degree or related technical training preferred

Required Knowledge and Skills:

  • Knowledge of and experience in budgeting, estimating and preparation of work plans.
  • Knowledge of Bechtel standards and practices related to office and administrative services.
  • Knowledge of applicable Bechtel, industry, legislative and regulatory standards.
  • Knowledge of technology, including hardware and software applications for administrative services functions as listed above.
  • Understanding of computer systems used by disciplines/groups that have interface requirements with administration.
  • Effective leadership and interpersonal skills.
  • Strong organizational skills.
  • Ability to deal effectively and negotiate with suppliers and contractors, internal/external customers, disciplines and project groups.
  • Fire Safety Advisor (Preferable)
  • Certificate IV OH&S (Preferable)
