Project Overview:

Bechtel is the Engineering, Procurement, and Construction (EPC) partner on the Northrop Grumman team to deliver the Sentinel Program, which is modernizing the ground-based leg of the U.S. nuclear deterrent triad, including intercontinental ballistic missile (ICBM) systems and launch infrastructure. Bechtel’s scope of service in Sentinel’s current Engineering & Manufacturing Development phase focuses on the ground infrastructure component of the program.

A major contractor for the United States and allied governments, Bechtel has handled such efforts as chemical weapons demilitarization projects, missile-defense, infrastructure, base operations, procurement and project management, and restoration and recovery spanning half a century. Job Summary:

In this role, you will perform administrative duties that require proficiency, accuracy, judgement, initiative, discretion, and knowledge of protocol.  You will handle both routine and complicated items, such as coordinating travel, preparing expense reports, and producing reports.  Your ability to anticipate problems and changing priorities will help bring efficiency and organization to your team.

This role is supporting multiple Department/Functional (e.g., Engineering, Quality, Safety) Managers and Supervisors. This position is located at the Project Management Office in Ogden, UT, and reports to the Office & Administrative Services (O&AS) Administrative Assistant Supervisor, with day-to-day direction provided by the Managers of the departments/functions this position supports. #LI-SNH 

Major Responsibilities:

  • Performs routine to complicated administrative duties of a responsible and confidential nature, under minimal supervision
  • Handles routine and complicated items independently and anticipates problems and changing priorities
  • Duties require accuracy, judgment, a moderate degree of initiative, discretion, diplomacy, and knowledge of protocol; Works with confidential information
  • Maintains a file of important matters for the attention upon return
  • Anticipates changing priorities and problems, alerting the manager as required
  • Coordinates travel arrangements and travel itineraries
  • Prepares detailed expense reports using Concur or other expense report software as required
  • Composes routine correspondence for appropriate signature
  • Reviews outgoing correspondence to ensure accuracy and proper format; May be required to send documents to the client’s document management system
  • Assists in coordinating internal and/or external meetings, maintaining calendar for responsible manager using Outlook or other calendar software, as appropriate
  • Compiles and distributes conference notes and meeting minutes, and the action items that result from the conferences and meetings
  • Assigns document numbers and enters into Bechtel electronic document management system
  • May be required to send documents to the client’s document management system
  • Completes business independently, or refers to other staff, forwards the most important to the senior manager, and follows up to ensure action is taken
  • Perform other O&AS tasks as required

Education and Experience Requirements:

  • Requires 2-4 years of related experience
  • Must be a US citizen
  • Ability to obtain a clearance preferred

Required Knowledge and Skills:

  • Has substantial understanding of the job and applies knowledge and skills to complete a wide range of tasks
  • Has intermediate to advanced skills in Microsoft Excel, Outlook, PowerPoint, Word, and other applicable software suites.  A skills assessment may be administered to determine proficiency.
  • Has intermediate to advanced written and verbal communication skills including spelling, grammar, punctuation and proper use of syntax.  A skills assessment will be administered to determine proficiency.
  • Works on assignments that are moderately difficult, requiring judgment in resolving issues or in making recommendations.
