Job Summary:
In this role, you will participate in the administration of records generated through the Computer Services Library (CSL) program for Bechtel's projects. Strictly following documented procedures, you will manage CSL records, follow retention requirements based on software classification and the software lifecycle, and process requests for both software applications and incident/error reporting. You will be responsible for supporting internal and external audits for both the NQA-1 program as well as audits for the CSL.
Major Responsibilities:
Manage requests for New SCPs or Revisions to SCPs:
- Review Control Form and package details to become an approved SCP
- Log, review, organize and file documentation in share drive, test cases, programs, etc. & create a distribution package, in accordance with 3DP-G04-00036
- Retention of PCF form and associated documents into Infoworks
- Create or modify CSL Catalog entryCreate or modify SCP models in ServiceNow
- Send notification to MyRR so they can distribute PCF to users.
Process request for software:
- Review SCP request forms
- If SCP request is for non-U.S. Citizen or non U.S. permanent resident obtain a restricted party screening and submit to export compliance
- Review if software is to be used outside of U.S., obtain a restricted party screening and send to export compliance for review and approval
- Distribute software to employees either through Sharepoint or Software Center
- Configure dongles for ME101 and ME150 software used at WTP
- Send user registry to MyRR for required reading assignment
- Monitor departing employees HR list and remove registrations from ServiceNow, active directory, and inform MyRR to remove required readings
- Sweeps of users who have not acknowledged software and reminders to users
- Sweeps of users who have not completed MyRR training and reminders to users
- Bi-weekly retention of SCP requests in Infoworks.
Facilitate processing of Error Tracking / CPENs (update):
- Receive and log errors from vendors
- Forward errors received to SCP principals and add to sharepoint site
- Receive CPEN entry in ServiceNow and save in share folder
- Retention in Infoworks of CPENs
- Distribute CPENs to registered users via My Required Read
- Provide CPEN reporting in support of Audits and User requests
Education and Experience Requirements:
Requires bachelor's degree (or international equivalent) and 5-8 years of relevant experience or 9-12 years of relevant work experience
Required Knowledge and Skills:
- Proficient with the MS Office 365 Suite.
- Experience with records management and data administration.
- Problem-solving skills with a focus on process optimization and efficiency.
- Ability to organize and prioritize assigned tasks, with strong interpersonal skills.
- Ability to work flexibly and collaboratively with team members.
- Detail-oriented, highly organized, typing proficiency, and demonstrated oral and written communication skills.
- Ability to coordinate tasks between resources located in multiple locations.
- Professionalism with a strong work ethic.
