Role Overview:

Located at various Bechtel permanent office locations, the incumbent will perform expediting activities on a project to ensure the timely delivery of materials and equipment to meet project needs. 

Job Summary:

The Expediting Specialist will be working closely with engineering, supplier quality, logistics & construction team and externally with suppliers on the Project. Will be responsible for timely submission of vendor drawing supporting engineering design and delivery of material & equipment as per construction sequence. This position will report directly to the Expediting lead and be an integral part of the Supply Chain setup on the Project.

  • Reports to and receives operational direction from the project Expediting Supervisor.
  • Receives functional guidance from the Expediting Manager.

Contacts:

  • Responsible for coordination with project and project procurement management, engineering, construction, startup, planning and scheduling, area expediting, and other procurement personnel assigned to the project team.
  • Maintains contact with suppliers to monitor the progress of material and equipment orders.
  • Coordinates with area expediting personnel assigned to perform project visits.

Major Responsibilities:

  • Communicates with suppliers and personnel within Bechtel to establish clear definition of requirements, and to assure performance to purchase order terms and conditions.
  • Prepares and organizes assigned Procurement-sponsored meetings, such as post-award kick-off or progress meetings, to ensure complete understanding and agreement between Bechtel, the customer and supplier on all purchase order matters.
  • Attends project status meetings and reports status of area of responsibility. Participates in the Procurement Material Status meeting, produces and distributes meeting minutes and accountable to closing open actions.
  • Contacts suppliers to obtain timely submission of engineering data and to follow-up on material acquisition, production progress and shipment.
  • Expedites Bechtel engineering for the timely review, approval and return of engineering data submitted by suppliers.
  • Evaluates production schedules and progress reports from suppliers to determine if their programs and work progress meet jobsite requirements. Obtains copies of supplier’s orders for material, performs sub-supplier expediting, where necessary, and works closely with supplier quality representatives to ensure awareness of materials subject to quality performance and their locations of manufacture.
  • Supports key/critical supplier relationships with supplier's senior project personnel executing orders to ensure performance of the work.
  • Compiles data needed to prepare the critical items reports or other supplementary reports as required.
  • Coordinates with planning and scheduling, field material coordinators or jobsite project expeditors and construction to establish priorities, sequences and required delivery dates and instructs suppliers accordingly. Maintains a working file of expediting related documents and memoranda of conversations to record expediting activities. Maintains a system to initiate follow-up actions at appropriate times.
  • Participates in pre and post-award meetings to review and discuss schedules and potential problem areas that may impact required shipment dates. Reviews area expediting assignments and recommends corrective action on problems identified in the reports.
  • Updates Digital Supply Chain System (DSCS) and Supplier Evaluation Reports in a timely manner.
  • Coordinates shipping arrangements or tracking requests with the project traffic representative.
  • Reviews material receiving reports against shipping documents to verify that material has been received at jobsite. Assists in tracing missing material. Subject to project requirements, monitors the issuance of material requisitions, and other project and procurement actions affecting material deliveries.
  • Oversees supplier performance and cause to be initiated, appropriate notices including notices of back charges/claims.
  • When assigned to jobsite maintains continuing contact with the office project expediting staff to exchange information about jobsite requirements and current order status.
  • Attends construction coordination meetings, coordinates with construction, planning and scheduling, jobsite engineers, and other field procurement staff to ensure that field material requirements receive timely attention and follow-up action.
  • Coordinates customs clearance (on international jobs) of critical material and equipment with traffic and logistic representatives.

Education and Experience Requirements:

  • Level 1: A University Hire with 1-2 years of experience or 5-6 years of relevant work experience​.
  • Level 2: Requires Bachelor's degree and 2-5 years of relevant experience or 6-9 years of relevant work experience.

Required Knowledge and Skills:

  • Thorough understanding of equipment and material fabrication steps and methods.
  • Proficiency in monitoring supplier performance, back-charge procedures and the resolution of claims and disputes.
  • Good oral and written communication skills regarding technical and production matters with both project and supplier personnel.
  • Good knowledge of general business practices and administrative procedures.
  • Proficient in organizing tasks for completion by an agreed deadline.
  • Knows how to deal professionally with suppliers and project personnel.
  • Capable of providing early warning to the Project Management of supplier deficiencies or schedule slippage.
  • Capable of interpreting schedules to ensure they are realistic, that required activities occur on time, and that interface between activities is maintained.
