Agilus Project Admin and Document Control

Project Overview:

Pennsylvania Chemicals is a world scale petrochemicals facility to be constructed in Monaca, Pennsylvania, USA - thirty miles north of Pittsburgh, Pennsylvania. The facility will produce 1.5 MTPY of polyethylene (PE).  The main process units (ISBL) comprise of an ethane cracking unit (ECU), two gas phase polyethylene trains and one slurry phase polyethylene train. The balance of facilities (OSBL) include a gas-fired combined cycle cogeneration power plant, water treatment, cooling tower, a large rail yard and other facilities. The overall project will involve up to 6,000 workers during its construction and is expected to employ 600 permanent employees when completed.


Agilus is a wholly-owned subsidiary of Bechtel, providing small project engineering services to customers in Bechtel OG&C’s Downstream and Chemicals business line. Agilus is establishing a locally-based team, providing engineering support to the Pennsylvania Chemicals project, and with the objective of providing long-term engineering services to the facility’s owners.


Position Duties/Responsibilities


Document Control Duties:

  • Responsible for maintaining and supporting document management work processes
  • Document handling, processing, and exchange of documents to and from external parties
  • Utilizes the standard Electronic Document Management System (EDMS), to register, control, distribute, transmit, file and archive project records
  • Ensures project schedules are met with regard to processing documents.
  • Assists in generating status reports, maintaining tracking logs and providing performance metrics for the management team
  • Supports all project functions in daily execution of project activities.


Office Administration Duties:

  • Monitors all follow-up actions required by supervisor/manager.
  • Extracts data from reference material, either semi-technical or non-technical in scope.  Compiles, analyzes, and prepares or helps prepare information for studies or reports, such as organization planning, charts, graphs, and work load forecasts.
  • May assist in the recruitment of clerical and other support personnel.
  • Organizes material for meetings, presentations, and training sessions.  May operate a variety of audiovisual equipment in the presentation of programs, orientation, and conferences.
  • Helps develop and monitor budget or financial information, such as comparing past costs with future costs, auditing invoices, and verifying labor reports.
  • Reviews deliverables of assigned staff and monitors quality to ensure that all documents conform to established standards and procedures.
  • May implement records management program.  Maintains files of various historical data.
  • May assist in personnel activities, such as recruitment, policy administration, compensation administration, or employee development.
  • Assists in cross-training other personnel in professional or discipline-specific skills, techniques, and procedures.
  • Performs other duties as assigned by supervisor.
  • Reviews incoming communications, work orders, and service requests for subject matter content and routes them to appropriate supervisor’s attention.  Composes routine correspondence in response to requests for department services; answers inquiries from other departments, area offices, or outside entities.

  • Experience of reporting
  • Excellent written and oral communication skills - there will be a need to keep regular contact with project personnel
  • Demonstrated ability to develop and implement processes and procedures
  • Must possess and demonstrate ability to work effectively in a fast-paced, high energy, team environment.
  • Experience in training document control and administrative personnel including presentations and reports as needed
  • Experience of using the EDMS query system to support Client / project users in the use of the EDMS. - User support only - technical support provided on project.
  • Operating scanners with enough understanding such that a quality scan is obtained while minimizing file size.
  • Experience of Redline Mark-up processes
  • Able to work overtime when required.
  • Willingness to get involved with overall project document management activities where required.

Preferred Skills

  • Three-year document management/administrative experience is desired
  • Demonstrated knowledge of Microsoft Office Suite, i.e Microsoft Word, Microsoft Excel, Aconex, or similar Electronic Document Management System (EDMS).
  • Experience of reporting
  • Sophisticated written and oral communication skills
  • Experience with working in and around construction job sites, engineering offices or operating plants.
