Job Summary:
The Medical & Emergency Response Coordinator coordinates client-provided onsite occupational health and emergency response services for the project. The role serves as the primary interface between the client’s provider team, project leadership, contractors, and internal ES&H to support compliant, aligned service delivery. This is a non-supervisory position focused on coordination, communication, and documentation.
Supports planning, reporting, and continuous improvement for medical services coordination, incident management, and emergency preparedness, including facilitating work-related injury/illness case documentation and information flow (workers’ compensation/return-to-work when required). #LI-AE2
Major Responsibilities:
Note: This role coordinates and supports client-provided medical and emergency response services. It does not provide direct clinical care or emergency response services.
• Serve as the liaison between the client’s health services provider team, project teams, contractors, and internal stakeholders.
• Coordinate with the client’s provider team and project leadership to confirm service coverage expectations (hours of operation, staffing plan, response coverage), support onboarding/site access needs for provider staff, and communicate/escalate coverage gaps through established channels.
• Support incident management processes, including coordinating notifications, documentation, and participation in investigations and reviews.
• Prepare, maintain, and analyze incident and service-delivery reports; track/trend leading and lagging indicators (e.g., response times, clinic utilization, case status) and provide routine updates to support continuous improvement.
• Maintain medical/ERT coordination records (plans, rosters, drill records, inspection logs, training records where applicable) and support audits as required.
• Coordinate communication related to work-related injuries and illnesses among employees, supervisors, the client’s medical provider, and relevant stakeholders.
• Support workers’ compensation case coordination by liaising with Risk Management and the client’s medical provider; track key dates, documentation status, and required communications to support timely case handling (when required).
• Coordinate return-to-work planning in collaboration with employees, supervisors, Risk Management, and the client’s medical provider; maintain appropriate documentation and ensure restrictions are communicated and implemented (when required).
• Maintain strict confidentiality and ensure compliance with all applicable privacy laws and company policies.
• Support emergency response readiness by coordinating with the client’s emergency response provider, site emergency response organization/ERT, contractors, and internal ES&H.
• Assist in the development, implementation, and continuous improvement of emergency response plans and procedures, ensuring alignment with the client’s emergency response model, site incident command structure, and local EMS interfaces.
• Coordinate and participate in drills/exercises; document outcomes; facilitate or support after-action reviews; and track corrective actions to closure in coordination with project leadership and the client’s emergency response provider.
• Coordinate rollout of targeted health initiatives (as directed by the project/client), such as mental health and wellbeing resources and musculoskeletal injury prevention, by scheduling activities and aligning communications with the client’s provider team.
• Collaborate with internal ES&H teams, the client’s providers, and project stakeholders to promote program awareness, participation, and alignment with site hazards and risk controls.
• Help monitor program performance by tracking participation, outcomes, and key metrics; gather stakeholder feedback and provide recommendations to improve effectiveness.
• Support development and distribution of educational materials, communications, and training (e.g., onboarding content, briefings, toolbox talks) related to health services coordination and emergency response readiness.
Education and Experience Requirements:
• Bachelor’s degree in occupational safety/health (or related) with 8+ years relevant experience; or Associate’s degree with 10+ years; or 12+ years emergency management/response experience.
Required Knowledge and Skills:
• Minimum of five (5) years of coordination experience in construction environments, including direct coordination with emergency response services and occupational health services.
• Demonstrated ability to manage service-provider interfaces (client/vendor), including meeting facilitation, issue tracking, performance metrics, and documentation control.
• Experience supporting emergency response readiness (plans, drills/exercises, incident management) and familiarity with ICS/NIMS concepts.
• Working knowledge of OSHA and applicable safety/emergency response requirements, including coordination interfaces with local EMS and regulators as needed.
• Understanding of workers’ compensation and return-to-work processes relevant to the project location.
• Strong organizational/problem-solving skills with ability to support readiness reviews, audits/assessments, reporting, and continuous improvement.
• Current and valid driver’s license.
