Job Summary:

In this role, you will perform administrative duties that require proficiency, accuracy, judgement, initiative, discretion, and knowledge of protocol. You will handle both routine and complicated items, such as coordinating travel, preparing expense reports, and composing correspondence. Your ability to anticipate problems and changing priorities will help bring efficiency and organization to your team.

Major Responsibilities:

    • Provides a variety of specialized administrative support functional manager and staff
    • Meet regularly with manager(s) to be informed of key issues and coordinate workload. 
    • Coordinate travel arrangements (domestic and international) and prepare detailed itineraries.  Manage expense reports through Concur.
    • Independently schedule and reschedule appointments based on manager’s commitments and priorities providing adequate detail to individual items.
    • Organize facilities for conferences, meetings, training, or employee events. 
    • Create and organize presentations or materials needed for meetings.  
    • Coordinate special activities and programs with manager’s input and approval.  
    • Manage meeting and catering requests while adhering to current pandemic restrictions for meetings and gatherings.
    • Compose routine correspondence.
    • Process project correspondence, conference notes & meeting minutes and action items log.  Review all deliverables for quality.
    • Coordinate internal office moves and coordinate space changes with Facilities.
    • Receive, review and route mail.  Prepare outbound shipping labels and commercial invoice documents (required for international shipments).
    • Maintain electronic files. Use electronic document management system to electronically manage project documents.
    • Order supplies.
    • Other duties assigned by manager(s).
    • Previous Bechtel experience in similar position preferred.

Education and Experience Requirements:

Requires 2-4 years of related experience

Required Knowledge and Skills:

  • Intermediate to advanced skills in Microsoft Office Suites
  • Working knowledge of Concur
  • Working knowledge of Aconex or electronic document management system
  • Excellent oral and written communication skills
  • Strong organizational skills with attention to detail
  • Experience interfacing with executive management and customers
  • Professional demeanor
  • Able to handle highly confidential information
  • Must be able to work independently
  • Must be able to work project Telework schedule.  May be needed to work overtime with little or no notice
