Job Summary:
The Office Administrator will coordinate office activities and operations while providing clerical and administrative support to management. Office administrator will also be knowledgeable in labor relations and human resources matters, gathering, collecting, and maintaining documents and records required for contract and policy development, and investigations.
Major Responsibilities:
Supervisory Responsibilities:
• Oversees the daily workflow of administrative staff, assigning responsibilities to ensure efficient administrative operations.
Duties/Responsibilities:
• Assist office managers with daily tasks such as, printing documents, creating letterheads, converting pdfs files, and reformatting documents, as needed.
• Maintain office accounting services which includes invoice processing (including project drug screening), accounts payable/ receivable, expense report processing/reimbursement tracking and company credit card management.
• Process Concur reports colleagues/managers
• Oversee and maintain IT equipment inventory which includes distribution of new equipment and inventory audit responses.
• Maintain office operations such as door schedule and badging, upgrades, facilities maintenance, and the negotiations of the Deer Park lease.
• Employment processor for day-to-day functions such as: promotions; demotions; hire; termination; benefits administration; project transfers; payroll corrections; travel allowance; evaluations; reprimand; timesheet maintenance; and addressing general employee/management concerns for BEO.
• Assist employees on the ESS Application if/when they have complications.
• Process payroll On-The Spot Awards for craft recognitions.
• Process craftsmen reimbursements such as mileage, boots, tools, college tuition.
• Administrator for three managers requiring professional interaction with customers, vendors, and internal personnel.
• Manage general shipments amongst multi-department discretion.
• Maintaining reprographics such as updates to the Skilled Recruiting Cards, Equipment Operator cards, etc..
• Manage office consumable and replenish supplies as needed to maintain inventory. This includes cleaning/office supplies, job fair trinkets, and NCCER books)
• Timekeeping for Deer Park hourly employees and SPMT craft personnel. Timekeeping functions include maintenance of eTrack, cost codes, and payroll file for processing, ect.
• Work with Graphic Designers and Communications do design job fair displays such as banners and backdrops.
• Coordinate annual career expositions.
• Coordinate office gatherings such as luncheons, holiday parties, and other events.
• Assist the front desk by answering the employment recruiting hotline and/or covering the front, when needed. Be replaced from the 888-phone tree roll over.
• Facilitate the distribution of service award and veteran awards.
• Tracking and administration of apprenticeship programs as need. This includes processing monetary reimbursements.
Education and Experience Requirements:
- High school diploma or equivalent as an Associate degree in office administration or related field preferred and at least three years of administrative and clerical experience required.
Required Knowledge and Skills:
- Excellent verbal and written communication skills
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Thorough understanding of laws, regulations, and guidelines related to HR/ER.
- Ability to prioritize tasks and to delegate them when appropriate.
- Ability to function well in a high-paced and at times stressful environment.
- Basic understanding of how to operate standard business equipment.
- Proficient with Microsoft Office Suite or related software.
Physical Requirements:
• Prolonged periods sitting at a desk and working on a computer.
• Must be able to lift up to 15 pounds at times.
