SENIOR EXPEDITING SPECIALIST (GURGAON)

 

ROLE OVERVIEW:

Performs expediting activities on a project, in a support office, or at a jobsite to ensure the timely delivery of materials and equipment to meet project needs.  Responsible for the input and assessment of project job-hour and monetary budgets.

 

JOB DESCRIPTION:

  • Reports to the Project Procurement Manager or Project Expediting Supervisor for operational guidance.
  • Contacts suppliers to obtain timely submission of engineering data and to follow-up on material acquisition, production progress and shipment.
  • Evaluates production schedules and progress reports from suppliers to determine if their programs and work progress meet jobsite requirements.
  • Compiles data needed to prepare the critical items reports or other supplementary reports as required. 
  • Coordinates with planning and scheduling, field material coordinators or jobsite project expeditors and construction to establish priorities, sequences and required delivery dates and instructs suppliers accordingly.
  • Expedites Bechtel engineering for the timely review, approval and return of engineering data submitted by suppliers.
  • Obtains copies of supplier’s orders for material, performs sub-supplier expediting, where necessary, and works closely with supplier quality representatives to ensure awareness of materials subject to quality performance and their locations of manufacture.
  • Participates in pre- and post-award meetings to review and discuss schedules and potential problem areas that may impact required delivery dates.
  • Coordinates shipping arrangements or tracking requests with the project traffic representative.
  • Ensures supplier evaluation reports are input into the Supplier Information System.
  • Reviews area expediting assignments and recommends corrective action on problems identified in the reports.
  • Prepares and organizes assigned Procurement-sponsored meetings, such as post-award kick-off or progress meetings, to ensure complete understanding and agreement between Bechtel, the customer and supplier on all purchase order matters.
  • Attends project status meetings and reports status of area of responsibility. Participates in the Procurement Material Status meeting, produces and distributes meeting minutes and accountable to closing open actions.
  • Supports key/critical supplier relationships with supplier's senior project personnel executing orders to ensure performance of the work.
  • Accountable for integrity of records management for respective team as it relates to purchase order administration activities.
  • Oversees supplier performance and cause to be initiated, appropriate notices including notices of back-charges/claims.
  • Guides newly assigned Expediting personnel to the requirements and procedures of the global business unit, project, and client. 

 

 

 

JOB KNOWLEDGE:

  • Good oral and written communication skills regarding technical and production matters with both project and supplier personnel.
  • Good knowledge of general business practices and administrative procedures.
  • Proficient in organizing tasks for completion by an agreed deadline.
  • Knows how to deal professionally with suppliers and project personnel.
  • An understanding of equipment and material fabrication steps and methods.
  • Capable of providing early warning to the Expediting Supervisor of supplier deficiencies or schedule slippage.
  • Capable of interpreting schedules to ensure they are realistic, that required activities occur on time, and that interface between activities is maintained.

 

QUALIFICATION:

A Bachelor’s degree in Mechanical, Civil, Electrical, Electronics or Production Engineering from a reputed University. Post-graduate specialization in Supply Chain Management preferred. Minimum 10 years of industry experience including 3 years in an EPC company on Oil Refinery, Petrochemicals and LNG Projects.
