Job Summary:
In this role, you will support contingent workforce operations by managing work orders, payroll-related processes, and vendor coordination activities. You will be responsible for ensuring data accuracy, compliance, and timely processing across systems while partnering cross-functionally with internal teams and external suppliers. This position requires strong problem-solving skills, the ability to manage high-volume work in a fast-paced environment, and a proactive approach to research and process improvement.
This position is designated as part-time telework per our global telework policy and may require at least three days of in-person attendance per week at the assigned office or project. Weekly in-person schedules will be determined by the individual and their supervisor, in consultation with functional or project leadership.
Major Responsibilities:
Create & Manage Job Postings: Develop job posting templates, assist hiring managers, and ensure alignment with job classifications and job keys.
Work Order Processing: Create, review, and revise work orders for data accuracy, pay rates, assignment updates, and compliance with staffing agreements.
Onboarding & Reporting: Manage first-day reporting instructions, badging paperwork, and provide required information to staffing agencies and projects.
Personnel Monitoring & Compliance: Track personnel assignments, ensure timely processing of assignment extensions and policy compliance.
Agency Conversions & Release Notifications: Coordinate conversions of agency staff to Bechtel and handle release notifications and work order deactivations.
Fieldglass System & Vendor Management: Use Fieldglass software to troubleshoot issues, support system processes, and recommend improvements.
Data Collection & Reporting: Collect, analyze, and assemble data for personnel reports, payroll processing, timekeeping, and expense management.
Payroll & Financial Support: Support payroll-related activities, validate financial data, and ensure alignment with finance processes and controls.
Account Reconciliation: Perform reconciliation of records across systems to ensure accuracy of payroll, invoicing, and financial data.
Audit & Compliance: Support audit activities by ensuring documentation accuracy, compliance with policies, and readiness for internal/external reviews.
Vendor Relations & Supplier Onboarding: Build relationships with vendors, assist with onboarding, contract coordination, and system setup for suppliers.
Cross-Functional Collaboration: Partner with HR, Payroll, Finance, IT, and project teams to resolve issues and ensure seamless operations.
Training & Continuous Improvement: Train team members on PMO standards, document processes, and support continuous improvement initiatives.
Research & Problem Solving: Conduct research to resolve issues, identify root causes, and implement solutions in a non-repetitive, dynamic environment.
Education and Experience Requirements:
Bachelor's degree in HR, Finance, Accounting, or related field. In lieu of degree, position requires minimum two (2) years work experience in an administrative or HR processing role and two (2) to eight (8) years' experience in payroll processing, finance, or related field.
Experience and familiarity with payroll processing in SAP, Oracle, Fieldglass, or other ERP systems.
Required Knowledge and Skills:
- Strong background in payroll and finance processes, including data validation and reconciliation
- Experience supporting audit activities and maintaining compliance with policies and procedures
- Strong technical aptitude with ERP systems such as SAP, Oracle, or Fieldglass
- Ability to perform research, analyze issues, and identify solutions independently
- Proven ability to work in a fast-paced, high-volume environment with shifting priorities
- Strong problem-solving skills with attention to detail and accuracy
- Ability to manage non-repetitive work and adapt to changing tasks and priorities
- Strong ability to take detailed notes, document processes, and apply findings
- Ability to switch gears quickly and manage multiple priorities simultaneously
- Experience with account reconciliation and data validation across systems
- Strong cross-functional collaboration skills with the ability to partner effectively across teams
- Excellent organizational, communication, and time management skills
