Role Overview:
The successful candidate will support the Infrastructure O&AS function by performing tasks such as providing Aconex support, conducting annual project assessments, managing tracking spreadsheets for functional activities, and delivering document management support for multiple FEEDs, prospects, and other work where a full-time resource is not initially required. Additionally, the candidate will handle general document management responsibilities in support of executing projects, along with other functional and document management tasks.
Job Summary:
Under direction of the Office and Administrative Services Records Manager, this role will provide support to the O&AS functional scope for the Infrastructure GBU as well as provide direct document management support for multiple projects being developed or in warranty. Daily responsibilities and priorities will shift frequently to align with changing business needs. #LI-KL1
Major Responsibilities:
- Utilizing the project ECMS (Aconex or other) to register, control, distribute, transmit, file and archive project documents.
- Provide Aconex training to the project team and outside organizations, including vendors and Owners/Clients.
- Creation and management of Aconex and Oracle Lobby accounts.
- Updates to Aconex configuration
- Perform annual functional assessments on projects.
- Participate in monthly project quality verifications, including correction of errors by rolling up quality metrics submitted by projects and preparing the report(s).
- Support document management during project warranty phase.
- Support records closeout for projects.
- Update functional spreadsheets to status functional goals and priorities.
- Perform annual functional assessments on projects.
- Provide backup support to other members of the functional team for other activities and scopes.
Additional Responsibilities:
- Attend and support quarterly (or monthly) All Hands Meetings
- Provide general document management support to projects across multiple countries and time zones.
- Prepare routine documents and reports using standard Word processing tools, Excel spreadsheets, PowerPoint or other office software as needed to support work activities.
- Will interact with PowerBI apps and pull reports from these tools.
- Creating dashboards to be used on project by multiple disciplines.
- Prepare records destruction requests.
- Support quality assurance audits, internal technical reviews, client reviews, and external audits.
- Keeping abreast of department technologies, techniques, and services that are available.
- Operating standard office equipment, copiers, and automation tools.
- May participate in panel interviews.Perform / Assist with other general administrative tasks as required, including scheduling meetings, and attendance tracking.
Education and Experience Requirements:
- Must have the right to work and remain in the United States without visa sponsorship.
- Must have a minimum of 6 years’ current experience performing document management and/or document control processes. This experience must have been obtained within the last 5 years
- Must be able to demonstrate advanced experience using Aconex. Must be proficient in Aconex features to include user management, workflows, troubleshooting. A skills test may be administered.
Required Knowledge and Skills:
- Must be able to explain/demonstrate intermediate to advanced experience in Document Management of multiple document types.
- Must be able to explain/demonstrate intermediate to advanced experience using workflows to transmit documents internally and externally.
- Must be able to explain Document Management best practices and processes
- Must have experience in creating procedures that define document management scope and processes on project.
- Must be able to demonstrate intermediate to advanced proficiency using standard office automation tools, including Microsoft Excel, Outlook, PowerPoint and Word.
- Skills assessments to determine proficiency level may be administered.
- Must be able to multi-task, organize and prioritize assigned document management tasks.
- Strong organizational skills, with attention to detail and accuracy.
- Have strong interpersonal and customer service skills.
- Have ability to work flexibly and collaboratively across all levels of the organization.
- Must be flexible and able to accept and quickly adapt to changes in work focus.
- Must be willing and able to work overtime with little or no notice as necessary.
- Previous document/records management experience in the construction or engineering industry.
Preferred Qualifications:
- Experience with all phases of a construction project, set up, execution, and close out.
- Demonstratable knowledge of all Aconex modules (Documents, Mail, Packages, Field, Workflows, Models).
- Demonstratable knowledge of Document Management best practices and processes.
- Experience working with multi-cultural teams. Local to the Reston, VA area.
