Project Document Manager, Texas High Speed

Role Overview

This position is for a Project Document Manager (PDM) to provide Document Management support to the Texas High Speed Rail project during the Development Phase in Dallas, TX.

 

Bechtel is providing project management services to the customer during the development phase of the project. Aconex is being used to manage the technical documents.

 

This is an 8 month short term assignment.

 

Job duties and responsibilities may include, but are not limited to:

  1. Register, control, distribute, transmit, file and archive project records using Aconex.
  2. Interface with and provide Aconex support to other project participants.
  3. Support the development and implementation of the records retention and turnover plans.
  4. Communicate effectively with project team members, the client, and field personnel, to ensure quality, schedule and budget are maintained.
  5. Support quality assurance audits, internal technical reviews, client reviews, and ISO 9000 audits.
  6. Process a high volume of supplier drawings and documents.
  7. Prepare routine documents using standard word processing, spreadsheets, or other office software as needed to support work activities.
  8. Keep abreast of department technologies, techniques, and services that become available.
  9. May be responsible for one or more administrative functions on the project.
  10. Operate standard office equipment, copiers, and automation tools.
  11. Perform and/or assist with other general administrative or clerical duties as assigned.

 

Job Knowledge

  1. Must have excellent written and verbal communication skills including proper use of spelling, punctuation, grammar, and syntax.
  2. Must be able to take initiative and follow through on issues.
  3. Must be able to work well in a complex team environment.
  4. Must be able to share knowledge, and contribute to the project and administrative team goals.
  5. Must possess a high degree of individual initiative, discretion and diplomacy.
  6. Must be flexible and able to accept and quickly adapt to changes in work focus.
  7. Must be familiar with Bechtel, client, and legal information management/records management requirements.
  8. Must be able to organize and prioritize administrative deliverables.

 

Basic Qualifications:

  1. Must have the right to work and remain in the United States without visa sponsorship.
  2. Must have at least 4 years’ current experience performing document control processes. Experience must have been obtained within the past 6 years.
  3. Must have recent experience using Aconex. (Ability to demonstrate receiving and transmitting documents. Set up and use workflows. Understanding of performing Redlines in Aconex. Ability to troubleshoot issues. Provide Aconex training)
  4. Must be able to demonstrate basic to intermediate proficiency using standard office automation tools, including Microsoft Access, Excel, Outlook, Word and eRoom.  Skills assessments to determine proficiency level may be administered.
  5. Must be familiar with processing supplier documents using redlining.
  6. Must be willing to travel to other jobsite or other work locations as needed.
  7. Must be willing and able to work overtime with little or no notice as necessary.
