Project Overview:
The ML2 Project involves the design and construction of a launch platform for the National Aeronautics and Space Administration (NASA). The purpose of ML2, located at the Kennedy Space Center (KSC), is to provide a launch platform for the Space Launch System (SLS), an advanced launch vehicle that will fill America’s need for deep space missions. ML2 includes many different subsystems that must operate and fit within the constraints of the structure and provide physical interface with KSC launch sites’ ground systems.
Job Summary:
In this role, you will provide document management support by using ECMS (Enterprise Content Management Systems), distributing, maintaining, and retrieving project records in accordance with company guidelines. You will assist with customer service, questions, issues, updates, quality checks, and project closeout activities. Your attention to detail and data accuracy will help ensure successful compliance with document and records management procedures. #LI-KL1
Major Responsibilities:
- Provides support for Enterprise Content Management Systems (ECMS) such as Aconex and InfoWorks and archival/retention management systems such as DocFinity, and other associated tools.
- Interacts with end users to support, troubleshoot, and resolve issues.
- Review, log, index, distribute, maintain, retrieve, and file a wide range of project records and revision-controlled documents (e.g., drawings, specifications, supplier submittals, correspondence, material requisitions, radiographs, change documents, etc.) in accordance with established procedures, instructions, and guidelines.
- Perform data entry using the project ECMS. Assign unique document numbers to documents based on procedures. Perform and document quality checks on all documents.
- Monitor and review data entry accuracy for assigned work by performing daily, weekly, and monthly quality checks to verify data accuracy.
- Follows established procedures and desk instructions to ensure accurate records processing.
- Adhere to data entry accuracy rates established for supervisor.
- Interface with internal and external customers on a routine basis; interface with other groups in the resolution of questions, issues, or actions relating to document control matters.
- Assist project team members with questions or issues related to document numbering, work process, electronic signatures, document legibility, etc. Assemble information needed to support project activities.
- Work with project team members to ensure records are complete and accurate and compliant with procedural requirements.
- Create and distribute document processing reports, as requested. Provide metrics to supervisor, as requested.
- Perform other tasks as assigned by supervisors and managers.
- Ability to work overtime on short notice as required.
Education and Experience Requirements:
- A University Hire with less than 1 year of experience or 4-5 years of relevant work experience.
- Experience in document control practices and processes.
- Experience working in a government environment (preferred).
- Experience working in an engineering, procurement, construction environment (preferred).
- Experience working with engineering, construction, and supplier documents using InfoWorks or Aconex (preferred).
Required Knowledge and Skills:
- Must have the right to work and remain in the United States without sponsorship.
- Must be able to pass a drug screen and background check.
- Intermediate to expert proficiency in Microsoft Office Word, PowerPoint, Outlook, and Excel.
- Intermediate to expert proficiency in Database Entry and Filing. A skills test will be required.
- Knowledge of Bechtel’s organization structure, functions, policies and procedures, industry and regulatory standards (preferred).
- Ability to learn new software applications and train others on software use (preferred).
- Experience in document control practices and processes.
- Excellent working knowledge of computer applications.
- Function well in a fast-paced environment and deal with pressure in a professional manner.
- Must be proactive, use individual initiative, follow assignments through to completion, be attentive to detail, produce quality products, and adhere to tight deadlines.
- Ability to learn new software applications and train others on software use.
- Possess flexibility, have strong interpersonal skills, and a proven record as a team player. Effectively deal with and adjust to quickly to changing priorities.
- Good oral and written communication skills.
