Project Overview:
Bechtel is partnering with NextDecade to support their vision to provide the world access to lower carbon intensive energy with their Rio Grande LNG (RGLNG) project in Brownsville, Texas. RGLNG is a natural gas liquefaction and export terminal situated on a 984-acre site on the banks of the Brownsville ship channel. The first phase of the RGLNG project consists of three liquefaction trains, two storage tanks and one marine berth. At full capacity, the five-train facility will have a production capacity of 27 million tonnes per annum (MTPA). Brownsville, Texas is a city known for its diverse history, tradition, and rich culture. Job Summary:
The CSU Administrative Assistant provides administrative, and systems support to the Commissioning, Startup, and Completions team (CSU). This role supports day-to-day execution of commissioning activities by coordinating documentation, data entry, reporting, logistics, and communication between construction, engineering, commissioning, and turnover functions. The position requires strong organizational skills, attention to detail, discretion, and the ability to manage changing priorities in a dynamic field environment. The role may also support administration of the project’s Completions/Commissioning Management System (CCMS) and related tools used to track ITRs, punch lists, preservation records, and turnover documentation.
Major Responsibilities:
- Provide administrative support to the CSU team, including scheduling meetings, preparing agendas, and generating meeting minutes.
- Format, proofread, and distribute correspondence, reports, ITR logs, and CSU documentation using Bechtel-approved applications.
- Support maintenance and data entry in CCMS/Smart Completions or similar systems, including ITRs, punch lists, preservation activities, and completions certificates.
- Assist CSU leadership in monitoring key priorities, deadlines, and deliverables throughout commissioning and startup.
- Coordinate travel arrangements and itineraries for CSU personnel and contractors, and prepare expense reports in Concur or similar software.
- Prepare and maintain CSU filing systems, electronic records, trackers, and SharePoint sites.
- Support generation of weekly and monthly CSU reports, dashboards, and progress summaries.
- Coordinate training logistics, onboarding materials, and access requests for CSU staff and system users.
- Assist with configuration and deployment of field tablets or mobile devices used for CCMS, in coordination with IS&T, as required.
- Maintain confidentiality of sensitive personnel and project information.
- Perform other duties as assigned in support of startup and commissioning activities
Education and Experience Requirements:
- Requires a University Hire with less than 1 year of experience or 4-5 years of relevant work experience
- Prior administrative experience supporting engineering, construction, commissioning, or industrial projects preferred.
- Experience with CCMS platforms such as Smart Completions, WinPCS, or equivalent is an advantage but not required.
Required Knowledge and Skills:
- Strong proficiency in Microsoft 365 applications (Word, Excel, PowerPoint, Outlook, Teams).
- Ability to prepare, edit, and manage technical and administrative documentation with accuracy and attention to detail.
- Strong organizational and prioritization skills; ability to manage multiple tasks in a fast-paced environment.
- Ability to work collaboratively with construction, engineering, commissioning, and turnover teams.
- Strong interpersonal and customer-service skills with the ability to communicate professionally at all organizational levels.
- Ability to handle confidential information with discretion.
- Basic understanding of construction or commissioning workflows, or willingness to learn.
- Experience arranging travel and meetings (domestic and/or international) and preparing expense reports; Concur experience preferred.
- Ability to learn new software tools, including CCMS platforms and reporting systems
