Materials Coordinator

Position Summary

Implements the project material management plan and executes this according to project materials management and inventory procedures, facility and personnel requirements and the overall project execution plan.  Serves as liaison at the project site between Project Procurement for reporting of undelivered materials, Field Procurement for stored materials, and Construction personnel for accurate reporting of materials required for work package installation.  Coordinates with responsible groups that materials are provided in a timely manner and in sufficient quantity to support the completion of construction work.  Ensures accurate distribution of materials to Construction and/or (Sub) Contractor installation locations.  Implements planned inventory control mechanisms, assists in early identification of surplus or unneeded materials, and coordinates material availability in support of design revisions or rework.

A.  Supervision Received

  • Reports to and receives operational direction from the Project Materials Manager, or Materials Coordination Supervisor if assigned.
  • Receives functional guidance from the Project Materials Manager.

C.  Contacts

  • Maintains direct working relationships with Project Warehouse/Laydown Supervisor, Construction/Field Engineering and Installation Contractors.
  • Coordinates with the Project Materials Manager to ensure mutual understanding and accomplishment of project objectives, plans, and requirements.

 

Responsibilities

  1. Implements Materials Management Plan with respect to applicable commodity groups, within area of responsibility.
  2. Under instruction, prepares changes to instructions delineating responsibilities and methods of operation pertaining to Materials Management activities at the project’s jobsite.
  3. Implements the planned construction activities and work packaging structure on the project through coordination with Field Engineering, Construction, and/or (Sub) Contractors, and Project Controls.
  4. Utilizes the materials components of the project Automation Plan (used by functional groups) to monitor related data transfers between the functional groups.
  5. Coordinates material availability in support of design revisions, rework, contingency or work-around plans.
  6. Participates in Construction and/or (Sub) Contractor planning meetings to be fully aware of changes in installation plans and priorities.
  7. Coordinates with warehouse/laydown personnel for materials to be issued direct to the installation area, as opposed to being controlled in storage.
  8. Take direct responsibility for development of a “Safety First” working environment and reinforces this with active participation in prestart meetings and job risk analyses.

 

Qualifications and Skills

  • Qualification through formal to at least secondary school education.
  • With a minimum of 5 years’ experience in Project execution including previous experience in the interaction with contractors in a Field EPCM role.
  • Fluent in written and spoken English language.
  • Previous experience in Plant Shut-Down environments is highly regarded.
  • Knowledge of the full scope of materials management functions on a construction project.
  • Knowledge of industry standard Construction Work Processes.
  • Advanced knowledge of either project Procurement operations related to the acquisition of materials on projects, or of the Engineering discipline within the area of responsibility, the work process, and the deliverables produced (must have a basic knowledge of the other).
  • Knowledge in the process workflow of the ERP systems, including drawing takeoff, material management planning, input of requisitions, stockcoding/tagging etc.
  • Stakeholder focused: craft, contractor, construction, team, and customer.
  • Understanding of safety systems requirements pertaining to all aspects of the manufacturing, field materials management and construction activities.
  • Good skills with data management, including a high proficiency in Microsoft applications (MS Excel etc.)
  • Some understanding of database operations, including enterprise supply chain management tools.
  • Good knowledge of scheduling and the interlinked nature if task to task
  • Has been exposed to field receiving, inventory and material issue experience or understanding
  • Has an understanding of Engineering processes including drawing generation, material take-offs and specifications
  • Willingness to learn standing project procedures and processes and adapt experience and knowledge into this environment.
  • Is a self-starter that can work both by themselves and as part of a larger team
  • Good communications and organizational skills.
