Job Summary:
In this role, you will plan and coordinate facility office designs, space allocation and moves, write procedures and instructions, provide guidance to administrative personnel, and stay informed of developments in technology, equipment, software applications, programs, and processes. Your input will help develop and implement new or improved systems and procedures for the facility.
Major Responsibilities:
- Plans and coordinates detailed phases of the facilities office designs, construction, major moves, renovation activities, space allocation, furniture and equipment control and disbursement, requiring substantial judgment and experience.
- Develops and implements new or improved systems and procedures
- Writes procedures and application instructions
- May provide input to subcontractors and suppliers
- Provides guidance and/or direction to administrative support personnel.
Education and Experience Requirements:
Requires bachelor's degree (or international equivalent) and 2-5 years of relevant experience or 6-9 years of relevant work experience
Required Knowledge and Skills:
- Experience in facility and office services activities.
- Experience in facility physical security processes and procedures.
- Expert experience with the Microsoft Office suite, including Word, Excel, PowerPoint, Visio and Outlook.
- Ability to exercise good judgment by assessing the criticality of a situation, making decisions by recognizing scope of authority, and escalating to the appropriate individuals when required.
- Strong ability to quickly develop working relationships with a broad range of individuals both internally and externally at all levels within an organization.
- Display a high standard of professionalism and confidentiality in handling sensitive information both internally as well as externally.
- Must be flexible and able to accept and quickly adapt to changes in workplace.
- Well-developed oral/written communication skills, strong organizational, problem-solving, interpersonal and customer service skills.
- Ability to work effectively with others, both individually and as part of a team.
- Demonstrated experience in supervision. Ability to direct others in areas of responsibilities.
- In depth experience with facility management automation systems.
- Experience with implementing Bechtel Safety & Health programs.
- Knowledge of applicable industry and regulatory standards, and of technology, including hardware and software applications applicable to office services.
- Demonstrated ability in organizing and maintaining department filing systems and share drives.
- Knowledge of Bechtel's processes and procedures related to office services is preferred.
- Experience in procurement activities related to procuring and receiving goods and services.
- Ability to work additional hours as needed.
- Handling of confidential and high-visibility matters requiring sound judgment and discretion
